The agreement between us, in plain words

Who these terms are for

They apply to anybody using SevaCircle — the organisation that runs it, the administrators and treasurers who work in it, and the members who sign in to see what they owe. Using it means accepting them.

Accounts

Accounts are created by an organisation's administrator. There is no public sign-up, and you cannot add yourself to an organisation. Your sign-in is your mobile number and a six-digit MPIN, which is yours to keep private; if you think somebody else knows it, change it and end your other sessions, both of which you can do yourself.

What the software is

A record-keeping system. It records contributions an organisation expects, payments it has received and how they were applied, and the balance of each of its funds. It does not hold, move or process money. Payments happen through the organisation's own arrangements; SevaCircle records that they did, once somebody in the organisation confirms it.

It is not accounting, tax or legal advice, and it does not replace whatever books or filings your organisation is required to keep.

What an organisation is responsible for

• The accuracy of what it records — amounts, members, approvals and adjustments.
• Who it gives administrative access to, and what those people do with it.
• Telling its members what it collects about them and why.
• Meeting its own legal and reporting obligations.

What you agree not to do

• Sign in as somebody else, or share your MPIN so that they can.
• Try to reach records belonging to an organisation you are not part of.
• Interfere with the service, or attempt to get around the permission checks.
• Upload anything unlawful, or any file that is not what it claims to be.

Availability

We work to keep SevaCircle available and correct, but it is provided as it is. Planned maintenance and unplanned interruptions both happen. Where the software is deployed on an organisation's own infrastructure, its availability is in that organisation's hands.

Your data

The records an organisation creates belong to that organisation. The privacy policy explains what is stored and who can see it, and it forms part of these terms.

Ending access

An organisation can remove a member's access at any time. Removing somebody does not erase the financial record of what they contributed — those entries belong to the organisation's books, and deleting them would make the books wrong.

Liability

To the extent the law allows, we are not liable for indirect or consequential loss, or for loss arising from figures an organisation entered, approved or acted on. Nothing here limits liability that cannot lawfully be limited.

Changes

These terms may change as the software does. The date at the top changes with them, and organisations using SevaCircle are told when something material changes.
